Event Project Coordinator – Cultural Center

Job Description

Job Purpose or Objective(s): As an event project coordinator, you will oversee all aspects of event planning and management to execution for internal and external events. Primary travel within the 10 ½ counties of the Choctaw Nation and periodic travel to communities throughout the United States. You will report to the Program Manager. 

Monday-Friday, 8:00 am to 4:30 pm
100% onsite

Primary Tasks

  • Meet with stakeholders to work out event details including venue activities, catering, and educational needs.
  • Make reservations, create schedules and timelines, and communicate with leadership.
  • Develop partnerships to share resources, expertise, and collaborate in planning, implementing, and evaluating projects.
  • Ability to plan and coordinate with multiple departments on specific events as needed.
  • Serve as staff liaison between contract employees and the organization.
  • Delegate and coordinate event planning tasks to other staff members when necessary. Recruit volunteers and assign leads; maintain contact list and coordinate with each lead.
  • Coordinate administrative functions, including usage of project management software to ensure efficient operations of the program. Maintain accurate, confidential, and up-to-date records per program requirements.
  • Manage and oversee activities on the day of events, including welcoming guests, directing setup, communicating with staff, and organizing vendors, volunteers, and managing take-down.
  • Anticipate and plan for possible different scenarios prior to and during events for all
  • stakeholders.
  • You will perform other duties may be assigned.

Job Requirements

  • Associate degree or two [2] plus years of experience in hospitality, tourism, public programming, or related field and certifications in event planning.
  • Cvent, Social Tables, WorkFront, Microsoft Teams or comparable project management software skills.
  • Must be proficient in performing multiple tasks and events.
  • Ability to collaborate with other departments and associates at different levels to ensure processes are managed properly.
  • Ability to travel to events.
  • The ability to present event ideas and plans to stakeholders and vendors.
  • Excellent customer service.
  • One plus [1+] years of experience in hospitality, tourism, public programming, or related field and certifications in event planning.
