Description

Job Purpose or Objective(s): The Conference Services Manager is responsible for detailing and coordinating social and private group events. They will manage and coordinate all corporate meetings, corporate and social events, weddings, group functions and group activities booked through the Sales Department.

Primary Tasks:

1.Oversee the customer experiences from file turnover through the post event phase; ensure seamless turnover from sales to service. Identify operational challenges associated with his/her group and works with Choctaw staff and customer to solve the challenges and/or develop alternative solutions.

2.Coordinate with Sales Managers, Meeting Concierge and Banquet Staff to ensure all details of the contract are delivered.

3.Detail and manage the planning, execution and supervision of assigned events and proactively up-sell group events (with a working knowledge of food and beverage operations and procedures) with the client.

4.Secure catering and conference only events along with the administration and planning of group meetings; Solicit, negotiate and book new and repeat business while maximizing banquet space for catering only events.

5.Communicate all group specifications to the operational departments by creating banquet event orders (BEOs), holding internal and external Pre-Con Meetings, and attending weekly BEO and Resume meetings; Obtain rooming list from clients based on cut-off day and send to Group Reservations Manager to enter into hotel system.

Required Education, Skills and Experience:

MINIMUM

  • Bachelor’s Degree or equivalent experience in Hotel, Sales or Event Center Operations

  • Detail-oriented in set-up, execution, and follow-up of events

  • Excellent oral and written communication techniques; High level of organizational and planning ability

  • Skills for negotiation and interpretation of contracts, problem-solving, analysis and effective decision-making

  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction

  • Must be able to work in a fast paced, collaborative and high energy work environment; Previous experience working in a similar resort setting

  • Requires a flexible work schedule with varied shifts, including weekends and holidays based on Group in-house and upcoming business needs

  • Must have experience in a facility comparable in size of Choctaw Conference Facility and Hotel

  • Three (3) years prior Catering and Conference Services experience in hospitality

TARGET

  • Bachelor’s Degree in Hospitality

  • High level of organizational and planning ability

  • Detail-oriented in set-up, execution, and follow-up of events

  • Excellent oral and written communication techniques

  • Strong computer skills. Preferred use of Delphi, Microsoft Word, Excel and Power Point

  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction

  • Working knowledge of food and beverage operations and procedures

  • Requires a flexible work schedule with varied shifts, including weekends and holidays based on Group in-house and upcoming business needs

  • Three (3) to five (5) years prior Catering and Conference Services, and/or Food and Beverage experience in hospitality industry
